About Us Brighton College Madrid, part of the Brighton College and Intellego Education families of schools, is opening in September 2027 in Aravaca. We are seeking a motivated and detail‑oriented Assistant Bursar to support the financial and operational setup of this exciting new school and help bring our outstanding standards to Spain. Role purpose The Assistant Bursar will provide essential financial and administrative support to the Director of Finance & Operations. This role is instrumental in ensuring the effective financial management of the school, supporting internal controls, facilitating smooth day‑to‑day operations, and maintaining compliance with Brighton College standards and Spanish legislation. As a developing school in its pre‑opening phase, the Assistant Bursar will also contribute proactively to establishing systems, procedures, and processes that will support the long‑term financial stability and administrative efficiency. This role will require proficiency in accounting software, high accuracy, and strong interpersonal skills. Key Responsibilities A. Financial Administration · Process supplier invoices, staff expense claims, and purchasing documentation. · Maintain and reconcile accounts payable and accounts receivable. · Assist with monthly bank reconciliations. · Prepare financial documentation and reports for audits, DFO review, and compliance. · Update financial records accurately in line with internal controls. · Handles daily cash receipts, banking, and overseeing petty cash. B. Budget & Reporting Support · Assist with preparing monthly and quarterly financial reports. · Assist the DFO with the annual budget preparation, monitoring deviations, and ensuring adherence to financial regulations. C. Procurement & Purchasing · Manage purchase requisitions and purchase orders. · Ensure compliance with procurement procedures and supplier vetting. · Maintain supplier records and assist in obtaining quotes and reviewing contracts. D. Admissions & Billing Support · Prepare, manage and ensure student electronic billing, fee statements, payment plans, refunds, and tuition receivables are accurate and up to date in all systems. · Track deposits and ensure correct identification of payments. · Maintain accurate, confidential student and financial records. · Monitor outstanding balances and assist with credit control procedures. E. Compliance & Internal Controls · Maintain orderly financial filing systems and documentation. · Ensure compliance with financial policies, audit requirements, and Spanish legal obligations. · Support the implementation of auditing recommendations. · Assist with data protection duties related to financial administration. · Provide technical, data, and process improvement support. F. Operational Support · Support the DFO with administrative tasks related to the area · Assist with setting up financial and administrative processes during the pre‑opening period. · Provide general administrative support during inspections, audits, and accreditation processes. · Cover other administrative areas when required. Person Specification · Education: Bachelor's degree in finance or accounting · Competencies: Accuracy, confidentiality, strong communication skills, and the ability to work under pressure. Skills & Experience · Previous experience (minimum 3 years) in finance administration, accounting, or business support preferably in a school or educational setting. · Strong numerical accuracy and attention to detail. · Ability to manage multiple tasks, plan, prioritize and meet deadlines. · Excellent organisation and documentation skills. · Strong written and verbal communication skills (English and Spanish required). · Ability to write SQL or learn some basic scripts · Experience with billing and credit control. · Familiarity with Spanish financial processes (invoicing, taxation, audit cycles). · Experience working with CRM or finance software and Microsoft Excel. · Ability to present data in a timely manner that is accurate, understandable, and professional. · Ability to maintain confidentiality of records and information.
