Our client, an international Private Equity investment firm, is currently looking for an Office Manager & Executive Assistant to support their close-knit team in Madrid.Responsibilities (among others) will be split between Office Management and Executive Assistance tasks and will include:Office Manager- Acting as link between international offices and Spanish office, overseeing administrative management of the office- Acting as the face of the company (meeting and greeting clients and/or any external guests)- Arranging new starters inductions, IT equipment/set up, phone and starter kit- Manage the Landlord and any property issues, rent payments, lease queries general expenses and invoices of Spanish office and local accountants- Thorough knowledge of company procedures, standards and relevant compliance- Updating personnel with relevant forms for new starters- Liaising with IT on any issues within the office and implementing work required- Implementing H&S policy in the office- Maintaining the condition of the office and arranging any maintenance as required- Ordering Office Supplies- Managing filing systemsExecutive Assistant- Agenda management for Partners, anticipating schedule conflicts and prioritising key objectives- Point to point international travel organisation for team- VC and call set up with various participants across time zones- Organising events (offsites, etc.) and assisting with distribution of marketing materials and attend events and functions as requested- Preparation, printing and binding of presentations, marketing materials and Board PacksLocation - Madrid, CastellanaSalary - Competitive (Dependant on experience)Timetable - 9.00h - 18.00hIncorporation - Q2/Q3Contract: Permanent
